Create and Manage Registered Users (Attendees) for Flow Webinar Rooms

This is a new feature that we got inspired by our legacy platform Webinato. This allows administrators of Flow accounts to create permanent user accounts for attendees on Flow and assign them to webinar rooms. These user accounts are permanent and have individual user accounts or profiles. They can log into the Flow dashboard/profile and access webinar rooms as well as play on-demand recordings (recasts).


Getting Started


To use this feature, first, you have to have your attendee list ready. You can add this information when you create a new user account.

  • email
  • First Name
  • Last Name
  • Optional: Title, Company, Phone, Twitter Handle, LinkedIn URL, BIO (text)

Creating Registered Attendees


This section walks you through the creation of new attendee accounts.

  1. Log in to the Flow admin dashboard: https://prod.flowapp.com/dashboard/login
  2. Click the user profile image on the upper right-hand corner, and then click "Registered Users"
  3. Click the "Add New Attendees" button on the new page (at the upper right-hand area)
  4. Enter the email address of the new user
  5. Fill in the necessary details in the user creation form (Do not add a Photo as it is not required)
  6. Click OK when you see the invitation sent dialog box
  7. The new user gets an email to set up a password. The user should also be listed in the user list as follows



Managing Registered Attendees


  • To resend the invitation, click  
  • To add/remove users to/from webinar rooms, click
  • To edit the user, click
  • To delete, click 
  • To search for a user, type the name in the search box and press enter
  • To increase the number of users displayed per page, use the dropdown at the bottom left
  • To traverse through the list of users, use the previous and next buttons at the bottom right

Adding/Removing Registered Attendees to/from Webinar Rooms

  1. To add/remove a user to a webinar room, click
  2. Then, from the Roles dropdown menu, select the "REGISTERED USER" option
  3. To remove the assigned role, select "NO ACCESS". This will permanently remove the access of this attendee to the selected webinar room.

  • Q: What if I banned a User? 
    A: He/she can access the next session. 
  • Q: How do I ban someone permanently? 
    A: Edit the user and change the role to "NO ACCESS" (see above).
  • Q: What if I assign the user to multiple rooms?
    A: He/she can see a list of webinar rooms
